This Privacy Policy explains how Zonoir (“we”, “us”) collects, uses and protects personal data when you visit zonoir.com or use the Zonoir clinic management software at app.zonoir.com (the “Service”).
1. Who we are
Zonoir operates zonoir.com and app.zonoir.com. You can contact us about privacy at hello@zonoir.com.
2. Our role: clinics control patient data
Clinics and doctors who use Zonoir decide what patient information they record and why. For patient data entered into the Service, the clinic is the controller (or equivalent under local law) and Zonoir processes that data on the clinic’s behalf and on its instructions. Patients who have questions about their records should contact their clinic directly.
For account information about our customers and for visitors to our website, Zonoir is the controller.
3. Data we collect
- Account data: name, email address, phone number, clinic name, role and login details for users of the Service.
- Clinic and patient data: information clinics enter into the Service, such as appointments, medical records, prescriptions and billing details.
- Billing data: subscription and payment details, processed by our third-party payment processor.
- Usage and device data: log data, IP address, browser type, pages visited and actions taken, including activity logs within the Service.
- Communications: messages you send us, including demo and support requests.
- Cookies: see our Cookie Policy.
4. How we use data
- To provide, maintain and secure the Service.
- To send appointment reminders and other messages that clinics configure.
- To process subscriptions and payments.
- To respond to support and demo requests.
- To improve our website and product, using aggregated or de-identified data where possible.
- To comply with legal obligations.
We do not sell personal data.
5. Sharing
We share personal data only with service providers who help us run Zonoir (such as hosting, email and SMS delivery, and payment processing), under contracts that protect the data; when required by law; or with your clinic’s instructions. A list of our current service providers is available on request at hello@zonoir.com.
6. Where data is stored
Service data is hosted with secure cloud infrastructure providers. Where data is transferred across borders, we use appropriate safeguards required by applicable law.
7. Security
We protect data with AES-256 encryption, daily encrypted backups, role-based access, row-level security and audit logs. No system is perfectly secure, but we work to protect your information and will notify affected customers of security incidents as required by law. See our Security page.
8. Retention
We keep account data while your account is active and afterwards for as long as needed to meet legal obligations and resolve disputes. Clinics control how long patient records are kept in the Service and can export their data. Clinics can export their data before cancelling, and can ask us to delete it by emailing hello@zonoir.com.
9. Your rights
Depending on where you live, you may have the right to access, correct, delete or export your personal data, object to or restrict certain processing, and withdraw consent. To exercise these rights, email hello@zonoir.com. Patients should contact their clinic first. You may also complain to your local data protection authority.
10. Children
Our website and accounts are intended for healthcare professionals and clinic staff. Clinics may record information about patients of any age, including children, as part of their care; that data is handled as described in section 2.
11. Changes
We may update this policy. We’ll post the new version here and update the date above, and notify customers of material changes.
12. Contact
